How to Be a Successful Exhibitor at a Health & Wellness Expo

Whether you’re a first-time exhibitor or a seasoned vendor, creating a strong presence at a health and wellness fair is a powerful way to connect with employees, share your mission, and leave a lasting impression. At Spice of Life, we’ve coordinated hundreds of wellness events—and we know what makes an exhibitor shine. Being an exhibitor at a corporate health and wellness fair is about more than just showing up—it’s about creating a strong presence. In addition, it’s about connecting meaningfully with employees, and leaving a lasting impression. Wellness fairs are a proven tool for improving workplace culture and long-term health outcomes, as noted by the CDC’s Workplace Health Promotion initiative.

Here are our top tips to help you stand out, engage, and maximize your impact:

🎯 Before the Event: Set Yourself Up for Success

Plan ahead. Arrive early to allow time for parking, unloading, and setup. Unexpected hiccups happen—give yourself a buffer so you’re calm, collected, and ready to go.

Bring a thoughtful giveaway. We require each exhibitor to donate a prize for our employee drawing. Although we don’t require a minimum value, we recommend choosing something generous and meaningful. It’s another way to make a positive, memorable impression.

Pack your table essentials:

  • Branded signage or banner
  • Educational handouts or samples
  • Table covering (pressed, clean, and neatly arranged)
  • Business cards or contact form
  • A small trash bag or storage bin to keep clutter hidden

✨ Booth Presentation: Make It Inviting

Stand up if you’re able. It’s much more inviting and signals openness. Sitting or hiding behind a phone can give off “do not disturb” energy.

To stay approachable, try to avoid being on your phone during the event. Being buried in your screen tells employees you’re unavailable. Be present and ready to greet with a smile.

Keep it tidy. Use clean, wrinkle-free linens. Furthermore, straighten your table and make sure all personal items (purses, drinks, piles of papers) are out of sight.

Add visual interest. Eye-catching elements like a colorful bowl of giveaways, a wellness trivia wheel, or an aroma station (essential oils, tea) can spark curiosity and conversation.

🤝 Employee Engagement: Connection Is Key

Start with a smile and a question. Try:
“Would you like to learn more about stress relief at work?” or
“Can I share a quick wellness tip with you?”

Be ready to listen. Wellness is personal. Offer space for genuine connection and helpful suggestions—without being pushy.

Clarify your value. Clearly explain how your product or service benefits employee well-being. Keep your pitch short, engaging, and benefit-focused.

🛑 Important Reminders from Our Team

  • Booths with consumables (including food, drink, or samples from other vendors) are for employees only.
  • Do not leave before the designated end time. Staying until the close ensures you don’t miss valuable connections—and shows respect for the event.
  • Keep your table professional and aligned with the tone of a workplace wellness event.

📬 After the Event: Keep the Momentum Going

Follow up. Reach out to any reps or employees you connected with. Share a quick thank-you and any next steps or resources.

Reflect & improve. What worked? What didn’t? Use each event as a learning opportunity to refine your approach.
